New E-Commerce Website with Rental Functionality & Xero Integration
The Client
Charter Care Services identified a significant gap in the market for a dedicated disability equipment sales and rental business, and launched Charter Care Disability Equipment Solutions as a new brand division. The new division would sell and hire products including wheelchairs, bariatric lifts, mobility aids, and consumables — catering primarily to NDIS participants and their support networks. Rather than bolt this onto the existing Charter Care Services website, the business chose to build a standalone digital presence that could carry its own identity while staying connected to the parent brand.
The Challenge
Selling and renting disability equipment online is not a standard e-commerce problem. The product range spans three fundamentally different transaction types — high-value consultative items, bookable rentals, and direct-purchase consumables — each requiring a different customer journey and technical implementation. The site also needed to integrate with Xero for accounting, handle out-of-stock rental bookings gracefully, and serve an NDIS audience who may prefer quote-based purchasing over a standard checkout flow. All of this needed to be delivered within the same hosting environment as the existing Charter Care Services website to keep ongoing costs efficient.

The Solution
Smart Product Catalogue & E-Commerce
The core innovation of this project was building a product catalogue where each item behaves differently depending on its type:
• High-value items (e.g., bariatric lifts) — no direct purchase; an "Enquire Now" form is presented instead, keeping the business in control of the sales conversation
• Rental products (e.g., wheelchairs, mobility aids) — customers can select a rental period and book and pay online; if the product is unavailable, an enquiry form is shown
• Consumables — standard add-to-cart and online checkout with immediate payment
This tiered approach was built on WooCommerce, with a dedicated rental management plugin to handle bookings and availability.
Xero Integration
Orders and payments from the website were connected directly to Xero via a dedicated integration plugin, eliminating manual data entry and keeping the business's accounts in sync automatically.
CRM & Lead Management
Fluent CRM was implemented within WordPress to capture and manage all customer enquiries and newsletter subscribers — giving the team built-in CRM functionality without the ongoing cost of a third-party platform. Fluent Forms was paired with this for seamless form-to-database entry across the site.
Shared Hosting Efficiency
Rather than billing the client for an entirely separate hosting environment, Full Steam consolidated both the Charter Care Services website and the new Disability Equipment Solutions website into a single upgraded hosting plan — saving the client money while increasing overall server resources to 300% CPU, 4GB RAM, and 5GB SSD.
